How to Get an Activity Report For All Users

The Activity Module shows all Activity Totals broken down by Rep.

Navigation: Reports >> Report Suite >> Activity Module

  • In the top-right corner, Export, Print and Refresh options will appear.
  • The Settings button will open the Edit Report Window for the Report that is currently selected.
  • Besides the Settings option, there is a ‘Reports’ Button. This will open the Reports Window where users can switch between Reports and create new Reports & customize the way the Activity data is displayed.
    • Includes a Standard Report: Activity By All Reps
    • Global Reports: Reports that are set to ‘Public’ will be visible to all users 
    • My Reports: Reports that are set to private will be visible only to the user who created them and the admin
    • Add Report tab: Ability to build custom Reports

How to Create a New Activity Report

The ‘Add Reports’ tab available in the path, Reports >> Report Suite >> Activity Module lets users create an Activity Report within the Reports Window.

Through here, users can perform the following actions:

 

  • Settings Tab:
    • Name the Report
    • Can select how the data will be displayed: Display Reps on the Left Side as Rows or Display Users on the Top as Columns
    • Can save the Report as either public or private. 

NOTE: Users will not be able to click the Rows or Columns tabs until they have named and saved the Report.

  • Rows Tab: “Row” refers to the rows that are intended to display either all users or specific individual users chosen to be included in the report.

      • Show Average toggle: The show average toggle is to include the averages for each field on the report. 
      • Show Total toggle:Here users can enable/disable the Show Summary Toggle. If enabled, the totals for each activity will be displayed. 
      • Department dropdown menu: This menu will allow users to filter the user list by Departments.
  • Columns Tab: “Column” lets users select which fields they would like to display on the report as Columns. The ‘Select Activities dropdown’ allows users to set the column view based on 4 different fields:

Activities 

  • Calls: Calls will be counted only for the ‘Assigned To’ User and will only be counted once the call has been marked complete on the Notes & Activity Report. 
  • Emails: Emails will count the number of individual emails sent by the logged- in User.
    • This will count single emails sent through the Contact Record, the Advanced Contact Search (both Gmail/Mail Chimp &  CRM emails), the Opportunities Module, the Production Module (Send Email), the Proposals system (the Send for Approval & Email Proposal options), and individual emails sent through the Marketing Manager Email Builder.
  • Mass Emails: Mass Emails will count the number of emails sent to more than 1 recipient by the logged-in User. This will count emails sent to more than 1 recipient through the Advanced Contact Search (both Gmail/MailChimp &  CRM emails), the Opportunities Module, the Production Module (Send Email), and emails sent through the Marketing Manager Email Builder. 

NOTE: This will count the number of RECIPIENTS not campaigns. So if you send one campaign through the Email Builder to 1000 people, the number shown here would be 1000.

  • Meetings: Meetings will be counted for the ‘Assigned To’ User and will be counted once created. (These don’t have to be marked as completed.)
  • Notes: Notes will count the number of notes created by the logged-in User.

Opportunities 

  • Amount: This will count the total dollar amount for Open, Won, and Lost opportunities assigned to the user.

NOTE: If an Opportunity is linked with a Proposal, the Proposal dollar amount will overwrite the Opportunity amount.

  • Amount Lost: This will count the total dollar amount for Opportunities assigned to the user with the *Status field updated to ‘Lost’ by the rep within the time frame.
  • Amount Won: This will count the total dollar amount for Opportunities assigned to the user with the *Status field updated to ‘Won’ by the rep within the time frame.
  • Created: This will count the total number of new Opportunities created that are assigned to the user within the time frame.
  • Lost: This will count the total number of Opportunities assigned to the user with the *Status field updated to ‘Lost’ within the time frame.

NOTE: This counts based on the action of updating the field to Lost. So if you marked an Opportunity as Lost a month ago, it will not be counted in your Lost Opportunities Today field.

  • Won: This will count the total number of Opportunities assigned to the user with the *Status field updated to ‘Won’ within the time frame. 

NOTE: This counts based on the action of updating the field to Won. So if you marked an Opportunity as Won a month ago, it will not be counted in your Won Opportunities Today field.

Proposals

  • Approvals Sent: This will count the number of Proposal Line Items Sent for Approval by the user within the timeframe.

NOTE: This does not count the number of Proposals Approved. This counts based on the action of sending a Proposal for approval and counts the Line Items individually. 

NOTE: Once a Proposal has been approved, it will no longer be counted in the ‘Sent’ field. 

  • Average Sales: This will show the total number of Line Items created by the user within the timeframe divided by the Total Net amount.

NOTE: This counts all Proposal types – Active, Inactive, No Line Items, and Converted.

  • Barter: This will total all the Barter amounts added to Proposal Line Items by the user within the timeframe. 

NOTE: This counts by the act of adding a Barter amount to the Proposal. 

  • Cash Sales: This will show the Net Amount – the Barter amounts for Proposal Line Items created by the user within the timeframe.
  • Closing Ratio: This will show the Number of Proposal Line Items Created by the user within the timeframe divided by the Number of Proposal Line Items Converted within the timeframe.

NOTE: This counts by Proposal Line Items – NOT Proposals. Line items are counted individually.

  • Converted: This will show the number of Proposal Line Items converted within the timeframe.
  • Created: This will show the number of Proposal Line Items created by the user within the timeframe.
  • Net Sales: This will show the total Net Sales for Proposal Line Items created by the user within the timeframe.

Orders

  • Average Sales: This will show the Total Dollar Amount + Total Barter Amount/ Total Number of Orders (NOT line items*) for Orders created by the logged-in user within the timeframe.
  • Barter: This will show the Total Barter Amount for Orders created by the logged-in user within the timeframe.
  • Cash Sales: This will show the Total Dollar Amount – Total Barter Amount for Orders created by the logged-in user within the timeframe.
  • Created: This will count the number of Orders created by the logged-in user within the timeframe.
  • Sales: This will show the Total Dollar Amount + Barter Amount for Orders created by the logged-in user within the timeframe.
